Privacy Policy

Cheap Direct Mail ("we," "us," or "our") operates cheapdirectmail.com and provides direct mail printing and mailing services. This Privacy Policy explains how we collect, use, and protect your information when you use our website, our newsletter, and our services.

The short version: We collect information to run our business and improve our service. We use a tool called Project Crumb — which we own and operate — to measure how our marketing works (which emails get opened, which articles get read, which campaigns drive sign-ups). All of this data is kept internal to our company. We do not sell, rent, or share your personal information with data brokers, advertisers, or any other third party for their own marketing purposes.

1. Information We Collect

We collect information you provide directly to us, including:

  • Account registration details (name, email address, password)
  • Billing and payment information (processed securely via Stripe — we do not store full card numbers)
  • Mailing lists and recipient data you upload for your campaigns
  • Artwork and design files you upload
  • Business name, address, and contact information
  • Newsletter sign-up information (first name, last name, company, email)
  • Communications you send to us (email, support requests)

We also automatically collect technical and behavioral data when you interact with our website or our marketing emails:

  • Site usage: pages visited, time on page, referring URL, clicks on links, search terms within the site
  • Device and connection: IP address, browser type, operating system, screen resolution, approximate location (city/region) derived from IP
  • UTM and campaign parameters: when you arrive from one of our links (email, social, ad), we read the campaign tags on the URL so we can measure which campaign brought you
  • Email engagement: when you open one of our marketing emails or click a link in it, our email provider (Mailgun) records the event and reports it back to us. See Section 13 for details.

2. How We Use Your Information

  • To process and fulfill your direct mail orders
  • To create and manage your account
  • To charge you for services and send receipts
  • To communicate with you about your orders and account
  • To send transactional emails (order confirmations, tracking updates)
  • To send marketing emails (our monthly Briefing newsletter and product updates) to people who opted in
  • To measure and improve our marketing — for example, learning which articles people read, which emails get opened, and which campaigns drive sign-ups, so we can produce better content and stop sending things that aren't useful
  • To debug technical problems and improve site performance
  • To comply with legal obligations

3. Mailing List Data You Upload

Any mailing lists or recipient data you upload to our platform are used exclusively to fulfill your direct mail campaigns. We do not sell, rent, share, or use your recipient lists for any other purpose. We retain uploaded list data only as long as needed to complete your campaign and for legally required recordkeeping periods, then it is deleted.

4. Payment Processing

All payment transactions are processed by Stripe, Inc. We do not store your credit card number, CVV, or full payment details on our servers. By submitting payment information, you also agree to Stripe's Privacy Policy.

5. Sharing of Information

We do not sell your personal information. We do not share your personal information with data brokers, advertising networks, or any third party for their own marketing or commercial purposes.

We share information only with the trusted service providers we use to run our platform, and only for the purposes of operating our service on our behalf. These providers are contractually required to keep your data confidential and use it only for the services they perform for us:

  • Stripe — payment processing
  • Mailgun — transactional and marketing email delivery (delivery, bounces, opens, clicks)
  • DigitalOcean — cloud hosting infrastructure
  • USPS — as required to process and deliver your mail pieces
  • Google Analytics — anonymous website traffic analytics

We may also disclose information when required by law (subpoena, court order, lawful government request) or to protect the rights, property, or safety of our business, our customers, or the public.

6. Project Crumb (Our Internal Marketing Analytics)

Project Crumb is a marketing analytics tool we own and operate. It is not a third-party service — it is part of our own infrastructure, run on servers we control, and the data stays inside our company.

We use Project Crumb to measure how our marketing performs. Specifically, it helps us understand:

  • How many people visit each page on cheapdirectmail.com, and which pages they read
  • Where visitors came from (a search engine, a social post, an ad, an email link)
  • Whether someone who opened a newsletter later visited the site or signed up
  • Which marketing campaigns drive real engagement, so we can do more of what works

Project Crumb uses a small first-party cookie on cheapdirectmail.com to recognize returning visitors across pages. We do not share Project Crumb data with anyone outside our company. No advertiser, data broker, or third-party marketing platform receives this data. It exists solely to help us improve our own service.

7. Data Retention

We retain your account and order information for as long as your account is active and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce agreements. Marketing analytics data (page views, email opens) is retained for up to 24 months and then aggregated or deleted. You may request deletion of your account or your marketing-tracking data at any time by emailing hello@cheapdirectmail.com.

8. Security

We use industry-standard security measures including SSL/TLS encryption in transit, secure password hashing, and access controls to protect your data. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security — but we work to keep your information safe.

9. Cookies and Tracking Technologies

We use a small number of cookies and similar technologies:

  • Essential cookies — keep you logged in and remember your shopping cart and preferences. These are required for the site to work.
  • First-party analytics cookie (Project Crumb) — a single cookie set on cheapdirectmail.com that gives your browser an anonymous visitor ID so we can measure pageviews and understand which content is useful. It does not follow you to other websites.
  • Google Analytics cookies — for high-level traffic statistics. You can opt out using the Google Analytics opt-out browser add-on.

You can disable cookies in your browser settings. Doing so may affect site functionality (e.g., logging in or keeping items in your cart).

Do Not Track: Some browsers offer a "Do Not Track" (DNT) signal. Because there is no standard for how DNT signals should be interpreted, our site does not currently respond differently to DNT signals. You can still opt out of marketing emails and analytics tracking using the methods described in Sections 9 and 13 of this policy.

10. Your Rights and Choices

You have the right to access, correct, or delete the personal information we hold about you. To exercise these rights, email hello@cheapdirectmail.com with your request. We respond within 30 days.

California residents have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the right to know what personal information we collect, the right to delete it, the right to correct it, and the right to opt out of the sale or sharing of personal information. Because we do not sell or share your personal information with third parties for their own purposes, there is nothing to opt out of in that regard — but you can still request access, deletion, or correction at any time.

EU/UK residents have additional rights under the GDPR, including the right to data portability and the right to lodge a complaint with your local data protection authority. Our legal basis for processing is (a) performance of a contract for paying customers, (b) consent for marketing communications you signed up for, and (c) our legitimate interest in measuring how our own marketing performs (Section 6).

11. Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we learn we have collected information from a child, we will delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised "Last updated" date. For significant changes, we will email account holders. Continued use of our services after changes constitutes acceptance of the updated policy.

13. Marketing Communications and Email Tracking

If you sign up for our newsletter or marketing emails, here is exactly what happens and what we record:

  • Sign-up: we store your name, company (optional), and email address so we can send you the emails you asked for. We do not pass your email to anyone outside our company.
  • Sending: our email provider Mailgun delivers the email and signs it with our domain. Mailgun's privacy practices are described at mailgun.com/privacy-policy.
  • Open tracking: we include a tiny invisible image in each marketing email. When your email client loads images, we record that the email was opened, when, and from approximately what location (based on IP).
  • Click tracking: the links in our marketing emails are wrapped so that we record which links you click. This helps us learn which articles and topics are useful.
  • Tying it together: if you click a link in an email and visit our site, we connect that visit to the email open in our internal Project Crumb system (Section 6). This is how we measure whether our emails are useful. The data stays inside our company.
  • Unsubscribe: every marketing email includes a one-click unsubscribe link in the footer. Most modern email clients (Gmail, Apple Mail, Outlook) also display a built-in "Unsubscribe" button at the top of our emails. Clicking either removes you from our list within minutes. If you'd rather not have email opens or clicks tracked, simply unsubscribe — no opens or clicks can be tracked once you're off the list.

You can also email hello@cheapdirectmail.com to be removed from any marketing list.

14. We Don't Sell Your Data — Ever

To make this absolutely clear: we do not sell, rent, lease, license, trade, or otherwise share your personal information for money or marketing value. We do not work with data brokers. We do not let advertisers retarget you based on data we collect on this site. The information we have about you exists for one reason — to operate and improve our own service for you. That's it.
